How do you identify technology assets you no longer need?

We helped schools identify and remove over $400k worth of technology assets in 2021 from their replacement registers. This money was used to support other projects to advance student learning opportunities.

• More out of warranty IT assets than under warranty assets;

How do you correctly identify assets that can go and which ones should stay? The good news is it’s not rocket science to work out. You can use data freely available to you to help make an informed decision.

If you’re interested to learn how we do it, follow the steps below. I’ll be honest with you, this will take you a little bit of time to learn this skill, but it will be well worth it.

1. Download a list of your current IT Assets and open it in excel.
2. Create a Pivot Table with the raw data.

3. Arrange your Pivot Table to show the “Year/date_from” field across the top column and show the “Make and Model” fields in the row on the left.
4. You will now see which assets are currently out of warranty.
5. Now that you have the data displayed visually, you can discuss with your leadership staff to identify items that are no longer needed and can be removed from the replacement register.

By going through this simple process, you can remove thousands of dollars from your replacement tech budget and, at the same time, start a conversation about what devices are genuinely needed to support teaching and learning opportunities in your school.
